The COVID-19 pandemic plunged organisations into a sudden climate of anxiety and uncertainty as the virus spread internationally. The world of work had to adapt at a moment’s notice, and most companies were obliged to put concrete operational measures in place to keep their business going. While remote working, furlough and bringing forward annual leave are now well-established measures, as activity resumes, protecting the workplace is becoming a major issue.
According to figures from the consultancy Mercer(1), 80% of employees fear infection for themselves or their loved ones. Yet the subject of returning to the office does not seem to be addressed in proportion to this concern.
From now on, you once again have the pleasure, but also the heavy responsibility, of welcoming employees into your workspaces. With them, the flow of visitors will gradually resume.
Are you ready to protect their health?
While barely half of organisations feel that their suppliers are supporting them effectively through the crisis(1), Hamilton Apps is committed to supporting you and is rising to the challenge by unveiling a solution dedicated to the very particular circumstances of the return to your premises. The contactless solution for your reception teams
As usual, reception teams will be on the front line when it comes to welcoming your visitors. As pillars of your strategy for complying with health guidelines, their cross-contact between visitors and employees will be pressure points that must not be overlooked. It therefore seems essential to plan the new organisation of your reception in advance, so that everyone can return to work on site in the best possible conditions.
Visitor management software will be a decisive asset in implementing these new measures.
With Hamilton Visitor, you could already practise dynamic reception (going to meet visitors with a tablet) and electronic signature of documents (GDPR, safety and security conditions…). The iPad app now enables your teams to support contactless visitor registration, in strict compliance with social distancing and hygiene measures.
Visitors are handled at the visitor check-in kiosk: the visitor scans a QR code received in advance by email with their invitation and collects their sticker badge. A notification is sent to the host, and the visitor receives by email all the documents needed for their visit to run smoothly.
This process therefore takes place without any physical contact (no exchange of documents, no handing over of reusable badges and no interaction with reception equipment). Your teams can then focus on enforcing preventive measures and sharing important information related to the visit.
Autonomous contactless check-in
We know that you may need to rearrange your receptionists’ schedules and adapt the opening hours of your reception, or that some sites do not have a reception team.
The Hamilton Visitor iPad app and its “Contactless” module allow your visitors to check in completely independently.
A wide variety of secure stands complements our solutions and adds a touch of elegance to your reception. The kiosk holds the tablet firmly and includes a key-operated security system to protect it from unwanted use and the risk of theft.
The reception process is automatic, and its management tools allow you to monitor visitor flows in real time wherever you are. The host or a member of the security team can unlock the access control if necessary.
Finally, we recommend adding a foot-operated hand sanitiser dispenser to the reception set-up to reassure your visitors and all your staff.
To conclude, effective and reliable visitor management will be a valuable ally in your strategy to fight transmission of the virus within your buildings.
